Event lighting is temporary on purpose
The distinction matters: one is installed, the other is set up. A wedding, a graduation party, a company event, an anniversary: the lighting exists for a single evening. That changes the whole approach, starting with the fact that there is no second chance at it.That single fact shapes everything else about event work. An installation is judged over years. An event is judged in about four hours. So the planning front loads, the what ifs get covered, and nothing important gets left to the day itself.
The date does not move
Permanent work can slip a week. An event date is not adjustable. The lead time is longer than the work implies. Even a modest setup has the same steps, and none of them compress.
What actually causes problems
The most common outdoor event problem is not design, it is electricity. Where the power comes from, how it gets to the fixtures, and whether the run is safe to walk over are questions worth settling early. A beautiful plan with no way to power it is a drawing.Tell the lighting company about the band, the caterer and the photographer, since all of them want power and floor space too.
The contingency conversation
Outdoor events are subject to whatever the day brings. It is worth asking what happens if the forecast turns, even though it is not the fun part of planning. Knowing the plan B before you need it is worth more than any fixture choice.
Priorities
At an outdoor event the light is doing two things: atmosphere and navigation. The photographed parts are the overhead canopy, the head table, the ceremony area, the feature tree. Function means the route in, the steps and the way out, and it gets forgotten until somebody trips. Both belong on the list.

Working with the site
Venues have rules, and finding them out late is expensive. When you can get in, what you can fasten to, and how fast it has to disappear are venue decisions. Introduce them before the week of. It is free and it prevents the most.
How much is actually enough
The instinct with an event is to fill the space. Dark surroundings make everything read brighter, so a plan that seems thin in daylight is usually right. The spaces that people remember are almost always lit less than people expect, with genuine dark between the bright points. A designer who says the plan is already enough is doing you a favor.
